Allocate Employees to a Task

You can allocate employees to a task.

To allocate employees to a task, complete the following steps:

  1. Access the Schedule page.
  2. Select a task in the Schedule grid to which you want to allocate an employee.
  3. Click to display the Task Info/Staff Allocation sidebar on the right of the Gantt chart.
  4. Click the Staff Allocation tab.
  5. Filter your list by doing one or both of the following: (optional)
    • In the Staff Group field, select a specific team from which you want to allocate an employee.
    • Select Suitable to display only those employees whose skill set matches the task charge band.
    If you use both settings, you can filter your list to only display employees in a specific team who have a specific skill set.
  6. In the Allocation Length field, specify the time that you want to allocate to the employee.
  7. If you are allocating employee time to a recurring task, select Apply Recurring and click Recurring Settings to specify the recurring conditions. If this is not a recurring task, skip this step.
  8. Do one of the following:
    • Drag the name from the grid and drop it onto the task. TrafficLIVE displays the name and allocated time on the Gantt chart next to the task. If Snap to start of task is set on the Job Schedule Settings pop-up, the allocation is placed at the start of the task. If this setting is not set, the allocation is placed at the date/time that you drop it on the task.
    • In the Staff Allocation grid, double-click the employee name to add him or her to the task. TrafficLIVE places the allocation at the start of the task and displays the name and allocated time on the Gantt chart next to the task.
  9. Click Save. TrafficLIVE displays the employee name and allocated time on the Gantt chart next to the task. You can see if the allocation is approved or pending in the Schedule grid Status column.
    • If the allocation is approved, the employee is immediately able to see it on his or her work list.
    • If the allocation is pending, it is not displayed in the employee's work list until the scheduler has approved the allocation.

  10. Click the Task Information tab to see the list of employees who are assigned to the selected task.
